From request to the first shift. In working days.

Deadlines are only worth something if you can check them. That is why we count in working days – without weekends and public holidays in Germany and Lithuania – with one zero point: your confirmation of the offer is working day 0. Below are the specific dates for a request made today if you confirm the offer on the day it arrives. Here is what happens in each step, what we need from you and what you get.

Offer – Workers on site – Counted in working days – excluding weekends and public holidays in Germany and Lithuania. Start: 5 to 10 working days from your confirmation of the offer.

  1. Day 0Day 0 1

    Request

What happens: You send the request via the form, WhatsApp or e-mail. Three minutes: trade, number, start, location, one sentence on specifics.

What we need from you: Nothing more. Helpful but not necessary: shift system, workstation (line, machine, picking), required certificates such as a forklift licence or welder qualification, comparable pay of your own staff (for equal treatment in temporary staffing).

What you get: A confirmation with the date by which your offer will arrive. No call-back from a call centre. If we are missing something, we ask briefly.

  2. Working day 1Working day 1 2

    Offer

What happens: You receive a written offer. It contains: contract form (temporary staffing or works contract – in construction always a works contract), hourly rate or unit prices with everything included, supplements, earliest start, duration, notice periods, list of the documents we supply. Plus a call to clear up open points.

What we need from you: Your confirmation. Or your questions – both done on the phone in ten minutes.

What you get: Price and date in black and white. No “prices on request”, no renegotiation after the start – price steps required by law are in the offer from the start. Your confirmation is working day 0 for everything that follows.

  3. Working day 0Working day 0 3

    Your confirmation

What happens: You confirm the offer – by phone or e-mail. From this day we count the 5 to 10 working days to the start; the dates below assume you confirm on the day of the offer.

What we need from you: A “yes” to price, contract form and date. In temporary staffing also the comparable pay, if still open.

What you get: A fixed start in working days – and from now on our deadlines: profiles by working day 3, team on site by working day 10 at the latest.

  4. Working days 1 to 3Working days 1 to 3 4

    Profiles and selection

What happens: After your confirmation (working day 0) we send the profiles – in temporary staffing usually more than you need, so you can choose. Each profile: qualification, work experience, certificates and operator licences, languages with level, availability, attachments as PDF. The workers have already been tested by us – interview, documents, work sample. Under a works contract we assemble the team with site lead and send you the team’s credentials; the selection of individual workers is ours.

What we need from you: In staffing: your selection. If you want a work sample at your site on the first day, say so now – we prepare the worker for it.

What you get: In temporary staffing you decide who comes – nobody travels whom you have not seen beforehand. Under a works contract: the team’s credentials and the site lead’s name.

  5. Working days 3 to 8Working days 3 to 8 5

    Preparation

What happens: The employment contracts are concluded; we apply for the A1 certificates with the Lithuanian social insurance, organise the occupational-medical examinations or suitability checks (for example G25 for forklifts, G41 for work at height) where your deployment requires them, book accommodation near the site and organise travel by minibus. Customs notification: under a works contract we register our team ourselves. In temporary staffing into a sector subject to notification – such as warehousing and logistics – the notification via the German minimum-wage portal is legally your task as hirer (§ 16 (3) MiLoG); we supply all the data and prepare the notification, you check and submit it. In production and metalworking there is no notification duty. The site lead receives your contact details, your safety rules and the site plan. For works contracts the exemption certificate and register extract go to your purchasing, the SOKA-BAU certificate on request.

What we need from you: The signed staffing or works contract. Your vendor set-up – we send all data (VAT ID, register, IBAN) on the day of confirmation. The name of the contact on site (foreman, shift leader, site foreman) with phone number. Your safety briefing and company rules if you have them in writing – we translate them for the team in advance. Information on which company-specific equipment you provide.

What you get: A1 copies for all workers before the start; suitability notes on the occupational-medical examinations (no findings) in the profile. The credentials from Legal & quality. Name and phone number of the site lead or your contact at our office.

  6. Working days 5 to 10Working days 5 to 10 6

    Start

What happens: The team arrives at the accommodation the evening before – the first shift starts after a night in the accommodation at the earliest, never straight after the drive. The first day runs like this: safety briefing by you, the site lead translates (for 1 to 3 workers we have translated it in writing beforehand); tour, workplaces, contacts; company authorisations (forklift, platform) and instruction on your equipment; in temporary staffing, on request, a short work sample at the workstation (for welders to your WPS); then work. In temporary staffing your foreman instructs, under a works contract our site lead.

What we need from you: One hour of your foreman’s time on the first day. Access, lockers, company-specific equipment.

What you get: Workers who work on day one. From 4 people a site lead in the team with phone number who speaks German or English; for 1 to 3 a German- or English-speaking contact at our office by phone. A contact at our office who calls after the first day and after the first week to ask whether everything fits.

  7. OngoingOngoing 7

    Ongoing deployment

What happens: The workers work at your pace. Hours are recorded in your system and signed weekly by the foreman. At the end of the month one invoice with timesheets attached. The site lead handles everyday matters: accommodation, travel, sick notes, the team’s questions. We track deadlines (maximum assignment period, A1 validity, validity of certificates) and get in touch in good time.

What we need from you: Signed timesheets. A call if something does not fit – to us, not only after three weeks.

What you get: One invoice, one contact, no administration. Extensions, increases and transfers by phone.

  8. If needed: 3 working daysIf needed: 3 working days 8

If someone does not fit – replacement

What happens: You call or write via WhatsApp – also if someone does not show up or leaves early. We briefly ask what the issue is – performance, way of working, team – so the replacement fits better. In temporary staffing you receive a profile; within 3 working days the new worker is at your site, at no extra charge. We take the previous one back and organise the departure. Under a works contract you tell the site lead or us: we ensure the agreed work and staffing within 3 working days – that is our warranty, not a staff selection by you.

What we need from you: The call. No written justification, no form.

What you get: Continuity in the shift. You pay only hours worked and signed off. No discussion about blame.

  9. Before the endBefore the end 9

    End or extension

What happens: Two to three weeks before the end of the deployment we ask how to proceed: extend, increase, reduce, transfer, end. For works contracts: acceptance, final invoice, warranty running. For transfer into your workforce we help with registration and housing.

What we need from you: A decision by the agreed deadline.

What you get: Predictability. And workers you know, first in line for your next need.

The first day – how it goes well.

From experience: the first day decides the first weeks. A checklist for your foreman or shift leader.

  1. 1In advance

Prepare workplaces, lockers and equipment. Prepare the safety briefing – we translate it if you send it to us beforehand.

  2. 2Welcome by the contact

Ten minutes, names, who is responsible for what. The site lead introduces the team.

  3. 3Safety briefing

Mandatory before work starts (§ 12 ArbSchG): escape routes, hazardous substances, machines, PPE rules, behaviour in accidents. The site lead translates, you have it signed – we supply a bilingual confirmation on request.

  4. 4Tour

Hall, warehouse, break room, sanitary facilities, first aid, smoking area.

  5. 5Authorisations

Authorise forklift drivers in writing and instruct them on the equipment; work platform, crane likewise.

  6. 6Work sample, if agreed

Production workers at the machine or on the line, order pickers with your scanner, fitters on a component, welders to your WPS.

  7. 7First task with a clear brief

What, how many, by when, who checks. Better one simple task on the first day than three complicated ones.

  8. 8End of day

Short talk with the site lead: what went well, what is missing. We call you in the evening.

Briefing the site lead – five things he should know.

Our site lead is your lever. The better he is informed, the less you have to take care of.

  1. 1Who decides

Whom does he call with questions about the work, about safety, about hours and invoicing? Three names, three numbers.

  2. 2Quality and tolerances

What is “good enough”, what is not? Who checks, how is it documented?

  3. 3Pace and priorities

What first, what can wait, when are peak times?

  4. 4House rules

Break times, phone, parking, smoking, access, clothing, canteen.

  5. 5What you do not want

Every company has things that annoy it. Tell the site lead on the first day, not us after three weeks.

Under a works contract additionally: instructions to the team go through the site lead. That is not a formality but what legally supports the works contract (see Legal & quality).

In summary.
